Pre-Bill Invoicing
When a deposit is received from a client prior to an invoice being entered, you have the ability to post the deposit as a pre-bill invoice. When you do this, AgencyToday will assign the receivables item an invoice number. When you are ready to enter the invoice, that same invoice number will be used. In this way, the money received is being posted to the correct invoice.
The steps for this procedure are as follows:
1. Go to the
Accounting Menu and select Cash Receipts.2. Click on the
POST button.3. The system date will default as the entry date.
TAB down to the client number and type this in.4. Enter the receivable Chart of Account number, how it was paid and the amount of the payment. You also want to make sure that you check both the
"Cash on Account" and "Pre-Bill Inv#" check boxes. AgencyToday will assign an invoice number to this receivable. After all information is entered, click on the SAVE button.5. When you are ready to set up the invoice, go to
Client Services and "Find" your client.6. Click on the
LEDGER button. When the ledger card comes up, you will see the payment that you had entered. Click on this payment and AgencyToday will automatically take you to the Agency Invoicing screen, using the same invoice number previously assigned when the payment was posted. Enter the invoice as you normally would.
