Invoicing

 Two Ways to Access Invoicing:

1. Find your client under "Client Services". Click on the INVOICE button that is located two-thirds down on the screen.

2. Find your client under Client Services. Select the Functions pull-down menu and click on Invoice.

Inputting:

1. After selecting Invoice, the Agency Invoicing window will appear. AgencyToday automatically displays the insured's name and address, assigns an invoice number, the date, company code, policy number, Agy%, Pr%. (All of these fields can be overridden if necessary, except, for the invoice number that should be left as assigned by AgencyToday.)

2. Type in the Invoice Description. You can select the down gray arrow to the right of the Invoice Description field. A window will appear for you to select the appropriate description by clicking on it and it will fill in for you. If you click on the down arrow again, the window will disappear.

3. TAB through to the Amount Field.

4. Type in the dollar amount. (Note: The first line would be the pure premium without taxes or fees.) TAB.

5. For multiple entries such as policy fees or broker fees repeat steps 2 - 4.

Note: If you are invoicing a policy that will be financed, you should enter a line with the description as premium financed and the agency commission at 0. In the amount field, type in the amount financed as a negative number i.e., 500.00.

6. When all entries are complete click on the SAVE button.

LIST Button:

The LIST button is used to locate previously inputted invoices for a client policy.

Post Button:

This feature is used to convert installment invoices to open items, so they will appear on your agency's financials.

NOTE: The producer commission percentage that should be inputted when invoicing is the percentage of commission the producer receives of the agency's commission percentage. (i.e., Agency receives 15% commission. The producer receives 50% of the agency's percentage. Input 50%) The producer's dollar amount commission will appear in the "Producer Statements" report under ACCOUNTING REPORTS.

Report Information:

The following indicates where AgencyToday disbursed the invoice generated:

1. The TOTAL amount of the invoice for the policyholder is disbursed into Cash Receipts.

2. The amount due the insurance company is disbursed into the designated Company Payable (i.e., 2005-DRY).

3. The amount due your agency is disbursed into agency Accrued Payables.

Printing the Invoice:

1. Click on the PRINT button.

2. The first message box displays the standard office message.

To change this message for all future invoices, go to the "Main menu", Utilities under "Look up Tables." From the pop down menu, select "Invoice Messages".

3. Click into the "Invoice Comments Below" box to type in personal comments needed for the current invoice.

4. Select the correct "Print/Screen/File" radio button.

5. Select the "Plain Paper" radio button or "Letterhead" radio button.

6. Click on the OK button to activate the printing of the current invoice.
