Agency In-House E-Mail

Accessing:

1. From the Main Menu at the top of the screen select E-MAIL.

2. AgencyToday will display the E-Mail screen.

To Send a General Message:

1. Click on the ADD button.

2. From the user list in the upper left-hand corner, click on the user's name the E-Mail will be sent to. To send the E-Mail message to more than one user, hold the Ctrl (Control) key down on the keyboard and click on each selected user's name.

3. Click on the E-Mail radio button that applies: Urgent, A.S.A.P., When Possible or F.Y.I.

4. Click into the message area and proceed to input your message.

5. When all input is complete, click on the SAVE button.

To Send a Message Referencing Client's Policy:

1. Click on the ADD button.

2. From the user list in the upper left-hand corner, click on the user's name the E-Mail will be sent to. To send the E-Mail message to more than one user, hold the Ctrl (Control) key down on the keyboard and click on each selected user's name.

3. Click on the E-Mail radio button for the status that applies: Urgent, A.S.A.P., When Possible or F.Y.I.

4. Click on the client's policy from the list on the upper right hand side.

5. Click into the message area and proceed to input your message.

6. When all input is complete, click on the SAVE button.

Mail Sent Button:

1. After clicking on this button, AgencyToday displays all E-Mails that you have sent to other users.

2. To view the entire message, click on the selected line and AgencyToday will display the entire message on the E-Mail System screen.

3. The PRINT button is also accessible from this window.

Mail Waiting Button:

(This is for E-Mails that will be handled immediately upon receiving the E-Mail Reminder Message.)

1. After clicking on this button, AgencyToday displays all messages sent from other users to you.

2. To view the entire message, click on the selected line and AgencyToday will display the entire message on the E-Mail System screen.

3. The PRINT button is also accessible from this window.

Store Button:

When the E-Mail Reminder message appears on your screen, if you do not wish to handle the E-Mail immediately, once in the E-Mail screen, click on the STORE button. This also prevents the E-Mail Reminder message from appearing on your screen in your agency intervals.

Mail Stored Button:

Once in the E-Mail screen, select this button to handle the E-Mails previously stored using the STORE button.

Handled Button:

When returning to E-Mail, click on the MAIL WAITING button. AgencyToday will display the "E-Mail Memos Waiting" window.

1. Select the message that pertains.

2. AgencyToday will display the message in the E-Mail System screen.

3. Click on the HANDLED button.

4. The message has been removed from the "E-Mails Memos Waiting" window.

E-Mail Reminder Message:

1. When you have an E-Mail message waiting, AgencyToday will display the message: You have a (status type i.e., A.S.A.P.) E-Mail from (user's initials) waiting for you.

2. Click on the OK button.

3. Proceed to E-Mail at the appropriate time.

E-Mail Reminder Intervals:

The time frame of how often the E-Mail reminder will appear can be changed from the Main Menu/System Control/Main Record.

*Note: Only certain password levels have access to the System Control list area.
