Diary Items

Accessing:
1. Find the customer on the Client Services screen first.
2. Click on the policy that pertains to the client, so it is high-lighted.
3. There are 2 ways to access the "Diary" feature:
1st: Click on the DIARY button located two-thirds down on the screen.
2nd: From the Main Menu at the top of the screen, click on Functions menu and select Diary.
Three features are accessed from the Diary:
A. All existing diary items are displayed.
B. All existing diary items can be sorted and re-displayed by entry date, type or diary date.
C. A new diary item can be added.
Inputting First Diary Item:

1. When Diary is selected, the Diary Items screen will appear.
2. If there are any diary items that were previously entered, they will be displayed.
3. To add a new diary item, click on the ADD NEW DIARY button.
4. You will now be on the Full Diary Details screen.
5. Click in the yellow area and type your diary message.
6. Click on the blue box to the right of the F/U Date field and hold your mouse down.
7. From here, click on the number of days that you want the diary to come up for you to follow-up on.
8. You also have the option of typing in your follow-up date in the field provided.
9. Click on the SAVE button and the Diary window will close. NOTE: The DIARY button on Client Services will now be yellow to show that there are open diaries for this client.
10. Repeat the same steps to enter additional diaries.
Retrieving Diary Items for a Specified Client Policy:
1. Find your client.
2. Click on the Diary box.
3. A list of the diaries will appear on the Diary Items window. Click once on the diary item in the blue box and the body of the diary will appear in the yellow box on the right.
4. Double-click on the diary item and the Full Diary Details screen will appear with all the information for that particular diary.
5. If you need to re-suspense it for a few days, click on EDIT and then click on the blue box and change the number of days and then SAVE.
6. If you need to print the diary item, then click on the PRINT box.
7. If you are finished with the Diary item, simply click on the Completed Box.
Retrieving the User Diary List:
1. From the LISTS pull-down menu select USER DIARY.
2. A window will appear asking you to select the date range. For your current diaries select Current/Prior.
3. Click OK.
4. The diary list will appear. From here you can click on PRINT and the diary list will print reflecting your diaries.
Note: You may also obtain a Diary Items list for another user by typing in the selected user's initials in the window that appears in step 2.
