Letters

Accessing:
There are 2 ways to access "Letters".

1. From Client Services after locating the insured, click on the "LETTER/FAX" button located two-thirds down on the screen.
2. Select the Functions menu and then click on Letter/Fax.
Inputting a New Letter to Insured:
1. A pop-up window will appear.
2. Click on ""Add New Letter"."
3. The Letter screen will appear.
4. AgencyToday automatically inserts the insured's name, address, dear insured and the user's name. You are in the EDIT mode to continue inputting the letter. From the letter screen, changes can be made to the name, address, the insured's name, the user's name, closing, sender's name, title and displayed policy information for the client.
5. AgencyToday allows two RE: (regarding lines) to indicate necessary references.
6. When the letter is complete, click on the SAVE button.
Inputting a New Letter to Company:
1. Follow steps 1 - 4 as noted above.
2. Click on the "Company" radio button on the screen and AgencyToday automatically inserts the insurance companys name and address.
3. Select the applicable company. AgencyToday automatically inserts the insurance company's name and address.
4. Continue with steps 5 - 6 as noted above to complete the letter to the company.
Accessing Template Letters: (Refer to Template Letters Documentation)
1. After following steps 1 - 4 from "Inputting a New Letter to Insured" click on the LIST button on the screen.
2. AgencyToday will display a list of all template letters to the right, that have been inputted by your agency.
3. By clicking on your selection, AgencyToday will insert the template letter into the screen. If your selection is not the template letter needed, simply click on the LIST button again and make another selection.
4. The user may make changes to the template letter on the letter screen that
will not affect the original content of the template letter for future use.5. Follow steps 5 - 6 from "Inputting a New Letter to Insured" to complete the letter.
Printing a Letter:
1. After all information is saved, click on the "PRINT" button.
2. Another window appears providing your printing options. By selecting the
Plain-paper radio button, the letter will print out on plain white laser printer paper with your agency's name and address.3. By selecting the Pre-printed letterhead radio button, the letter will print out on your agency's pre-printed letterhead. Click on the radio button next to the desired option.
4. By clicking on the "Page Set Up Check Box" this will enable the user to print multiple copies of the letter by typing the number desired in the "Copies" field. Click on the OK button within the window.
5. Click on the printing option of choice (printer or screen) and the OK button to activate printing.
Retrieving an Existing Letter:

1. Utilize the accessing options explained at the beginning of Letters.
2. The same window will appear as in ""Adding a New Letter"," however, you will notice all previously inputted letters listed in date order. The description will also make it possible to identify the letter needed.
3. Click on the desired letter and AgencyToday will display the letter screen.
