Word Processing

This feature is for AgencyToday users who want to export data from AgencyToday to Microsoft Word.

User Access Setup:

1. Go to the Main Menu / System Control / Users/Access. Select the user’s name. Word is setup for each user and therefore, the setup must be repeated for all users who will access Word for Windows.

2. Edit the record to add "WINWORD.EXE" in the field title Word Processor Name. This will tell AgencyToday what program to open.

3. Enter the Word Path. (I.E. C:\WINWORD\.) Be sure to enter the trailing "\" as shown. This will tell AgencyToday where the .EXE file is located, as not all computers are setup exactly the same.

4. Now simply SAVE the record.

Template Letters Setup:

When a document is created in Word (which will be described next), AgencyToday will want to know what document to open, when the user wants to print. Here, we will create a Template letter, so that AgencyToday will display a list of all Word documents the user can select from.

1. Go to the Functions Menu and click on Template Letters.

2. Select the"
ADD" button.

3. At the top of the window, enter the Word document name (i.e., autorew.doc) and click on the check box "Word".

4. In the body of this template, you can enter a brief description on the purpose of this Word document.

the record.

6. Create a separate record for each Word document.

Now, when you select Microsoft word from the Client Services Screen, AgencyToday will display a list of all Word letters for AgencyToday to mail merge.

Word Setup:

After opening a new document, the following steps are required to setup each document.

1. Position the cursor where you want AgencyToday to merge the data, then press the "Ctrl-F9" keys on your keyboard.

2. This will create brackets. Now within the brackets type the following exactly "DDEAUTO OMNIS7 EZ272 FMNAME" then press F9 only to close the brackets. (Be sure you use all caps, otherwise, the merge will not transfer and you will get an error message.)

3. Repeat this same exact procedure for each field of data you want AgencyToday to merge. The only change for each merge data field will be the field name AgencyToday uses to store the information. AgencyToday provides a complete listing of all files and their corresponding fields within the Template Letters window in AgencyToday. Whenever you need to change the merge code for a field, first high-light the field and then press the Right button. Select "Toggle Field Codes" to see the code and make any changes.

The following are some files that are commonly used by AgencyToday:

Client Services Window Information File Name is"FMNAME". All fields within this file begin with "FM" (i.e., FMFIRST is first name, FMLAST is last name, FMADDRESS is client address, etc.) Other files such as commercial begin with "CM"

Personal Lines Vehicles are FTEMPAUTO & FTVHAUTO2 & FTVHAUTO3.

Boat/Marine is FBOAT.

Misc. policies are FMISC.

Because AgencyToday uses many files to store all the information, email us any special requests with information your agency wants to merge and we will email back the field names that store the information.

IMPORTANT: Add c:\AgencyToday\omnis7;c:\winword path to your autoexec.bat file.
